Terms & conditions

Everything a parent needs to know before enrolling: how registration and payment work, what we expect in class, and the risks we manage at every workshop.

Registration and payment

  • Registration rolls over each year unless you tell us in writing to stop lessons. Email or text is fine.
  • Term fees are due before the term starts.
  • We may cancel a program if registrations are low or something unforeseen happens. We will discuss alternatives with you or provide a full refund.
  • Makeup lessons and credits are not offered for any reason, including technical issues during online workshops.
  • Payment can be made by bank transfer or credit card. Bank transfer is preferred; a surcharge applies to card payments.
  • Payment plans are available on request.

In the classroom

  • Most programs are group activities and students are expected to work with others. Inappropriate or aggressive behaviour is not tolerated, and parents will be asked to collect their child immediately. No refund is provided in this case.
  • Students are expected to follow facilitators' directions. Misbehaviour is reported to parents, and continued misbehaviour ends the enrolment.
  • If a student damages our property, parents must pay for the damage.
  • Only nut-free food is permitted and food is not to be shared.
  • A parent or guardian must collect their child at the end of the workshop. Delays beyond 15 minutes are charged at $30 for each 15 minutes.

Programs and safety information

  • Parents or guardians must tell us about any allergies or special conditions we should know about.
  • We may modify or change programs, particularly external programs such as FLL or FLL Junior where format and dates are outside our control. We will tell you why.
  • Risk assessments are reviewed and updated regularly. Parents and guardians are expected to review them from time to time.

Risk assessment

Each risk below is paired with the steps our team takes to manage it. Risk assessments are reviewed and updated regularly.

Choking hazard from small LEGO® bricks

  • Clear instructions for safe use and appropriate supervision throughout the workshop.
  • Access to resources limited where appropriate.

Cuts, burns or shock while working with robots, tools, micro-controllers and electronic equipment

  • Staff check equipment at the start of each workshop and remove anything that may pose a risk.
  • Staff administer first aid, notify parents and call emergency services if needed.

Trips, falls and collisions

  • Facilities are scanned for hazards such as loose cables, and hazards are secured or minimised.
  • The venue's management is notified immediately.
  • Students are reminded of residual risks, and areas are isolated where possible.
  • Adequate lighting is maintained.

Injury while walking to a venue or crossing roads

  • Students are briefed on required behaviour: staying on pavements, crossing only on a green pedestrian light, holding hands with a partner.
  • All journeys, especially road crossings, are closely supervised.
  • One staff member leads the group and one follows at the back.

Sunburn while assembling, playing or waiting outdoors

  • Students are encouraged to stay in shaded areas and use sunscreen and hats.
  • Sunscreen and hats are provided by parents.

Protruding sharp or blunt edges

  • Team members monitor, note and report hazards to the facility manager, such as the school office.
  • First aid is applied, or emergency services called, if required.

Unauthorised photography or videography

  • Photos and video are taken so that students' identities and faces are not disclosed, for reporting activity to parents, schools, the AARAS team, and for promotion.
  • Express permission is sought before faces are captured.

Dangerous behaviour causing injury

  • Students are supervised at all times, except when going to and from restrooms, and are warned about dangerous behaviour.
  • First aid and emergency services are called if appropriate.

Unacceptable language

  • Students and visitors are expected to meet the same standard of behaviour and language as at school.
  • Students are warned, and parents are informed or asked to collect their child if required.

Physical or sexual abuse

  • Students are supervised at all times except when using restrooms, and are sent in pairs where possible.
  • Staff follow up if a student has not returned within a reasonable time.
  • Students going to after-school care are handed over to that staff directly.
  • Incidents are reported to the appropriate authorities and to parents.

Child abduction

  • Students are supervised at all times except when using restrooms, and are sent in pairs where possible.
  • Students are signed in at the start of a workshop and signed out by a parent or guardian at the end.
  • Students going to after-school care are handed over to that staff directly.
  • Incidents are reported to the appropriate authorities and to parents.

Common questions

Does your staff carry a valid Working With Children Check?

Yes, all our staff hold a valid Working With Children Check.

Can you drop our child at after-school care at the end of the workshop?

Yes, we can.

Do students need prior experience in coding or robotics?

No prior experience is required unless the program outline says otherwise. We recommend Coding for Year 2 and above, and Robotics for Year 3 and above.

Can students eat during workshops?

Yes, but we have a nut-free policy and food is eaten in the break-out area as directed by facilitators. We encourage students to eat before the workshop starts.

Do you offer makeup lessons, refunds or credits for missed classes?

No. We are unable to offer makeup lessons, refunds or credits for missed classes, and students attend the day they registered for.

What do we need for online workshops?

A computer, a stable internet connection, a web browser (Chrome recommended) and Zoom or Google Meet. Parents are welcome to sit with students who need extra support.

Do your programs qualify for government vouchers?

Our programs are eligible for the NSW $50 Active and Creative Kids voucher for eligible families receiving Family Tax Benefit Part A or B. We are a registered provider; obtain your voucher through the Service NSW app or website and give us the number at registration.

Can we try a class before registering?
